What is it?
When a return is confirmed at the warehouse, Ingrid Returns automatically creates a credit memo on the original Magento order, and Magento routes the refund back to the customer's original payment method — no manual steps in Magento Admin.
How it works
The customer initiates a return in the Ingrid Returns widget.
A return label is generated and the customer ships the items back.
The warehouse confirms receipt (via Quality Check, a WMS integration, or the Public API).
Ingrid Returns calculates the refund amount from the customer-currency price on the original order.
Ingrid Returns creates a credit memo on the order's invoice in Magento.
If the payment method supports online refunds, Magento's gateway returns the funds automatically. If it doesn't, the credit memo is created as offline and the merchant completes the refund with their payment provider.
How the refund amount is calculated
The refund is based on the original purchase price in the customer's currency, adjusted by your price setup:
Deductions: return shipping cost and handling fee (if charged to the customer)
Additions: original outbound shipping (if configured to be refunded)
If the customer-currency price fields weren't populated when the order synced into Ingrid Returns, the refund calculates as zero and no credit memo is created. Re-sync the order with correct prices and retry.
Requirements
A refund requires the Magento order to have exactly one invoice, in a paid state. Orders with zero invoices, more than one invoice, or an unpaid invoice will fail until corrected in Magento Admin.
Examples
Full refund on warehouse receipt — A customer returns a SEK 1,299 jacket with no return fee. When the warehouse confirms receipt, Ingrid Returns creates a credit memo for SEK 1,299 and the gateway refunds the customer automatically.
Partial return with a return-shipping deduction — A customer returns one SEK 599 item from a three-item order, with a SEK 49 return fee. Ingrid Returns creates a credit memo for SEK 550; the other two items are untouched.
FAQ
Q: The return is complete in Ingrid Returns but no credit memo appeared in Magento.
A: Usually the order synced without customer-currency prices (refund = 0), or the Magento credentials are invalid/insufficient. Re-sync with correct prices, confirm credentials, and retry.
Q: A credit memo was created but the customer got no money back.
A: The original payment method doesn't support online refunds via Magento's API. The credit memo is correct but offline — process the payment return with your provider.
Q: The credit memo amount doesn't match what the customer expected.
A: Check your price setup — return shipping and handling fees are deducted, and original shipping is only included if configured.
Q: Are partial refunds supported?
A: Yes. Only the returned items are included in the credit memo.
Limitations
The order must have exactly one paid invoice; otherwise the refund fails until corrected in Magento.
Payment methods without online-refund support produce an offline credit memo that the merchant completes manually.
Refunds are issued as credit memos only — no gift card or store-credit refunds via this integration.
The integration can't refund more than the original item price; extra adjustments are made manually in Magento.
Already fully-refunded orders are rejected by Magento.
Inventory restock is not automatic — see the Magento integration FAQ.
