What is it?
This is the reference for all financial transactions the Magento integration handles during returns — refunds (money out to customers) and exchange-order payment timing. It sits alongside the dedicated Magento refunds and Magento exchanges articles and explains how the two fit together.
Refunds
Refunds are issued as credit memos on the original Magento invoice. When the warehouse confirms returned items, Ingrid Returns calculates the amount from the customer-currency price and creates the credit memo; Magento routes the money to the original payment method.
Before the credit memo is created, the integration validates the invoice:
The order must have exactly one invoice — zero or multiple invoices fail with a "manual handling required" message.
The invoice must be in a paid state — an uncaptured invoice fails until payment is captured in Magento.
Full detail: see Magento refunds.
Exchange payments (timing)
Exchange orders are placed as new Magento orders and inherit the original order's shipping method. When the order is placed is governed by the exchange policy — set as a shop default and overridable per price list:
Policy | Exchange order created… |
Immediate exchange | As soon as the customer confirms in the widget |
Exchange on return | When returned items are received at the warehouse |
Exchange on shipment | When the return is in transit |
Manual approval | After a Back-office user approves the exchange |
This lets you tier risk — e.g. Immediate exchange for VIP price lists, Exchange on return for high-value items. Full detail: see Magento exchanges.
Setup
All financial calls use the Magento OAuth 1.0a credentials (Consumer Key, Consumer Secret, Access Token, Access Token Secret) entered at Returns Back-office → Settings → Admin → [Shop] → Edit ecom integration. All four are required.
FAQ
Q: A refund is in error state — "manual handling required" or "invoice is in not paid state."
A: Fix the invoice in Magento Admin (exactly one invoice; capture the payment), then retry the refund.
Q: Are partial refunds supported?
A: Yes — the amount is calculated per returned item.
Q: Where do I see the error detail when a refund fails?
A: On the return's detail page in the Returns Back-office — Magento's message is surfaced directly.
Limitations
Refunds require exactly one paid invoice; otherwise they fail until corrected in Magento.
Refunds are credit memos only — no gift card or store credit via this integration.
Exchange orders inherit the original order's shipping method.
Inventory restock is not automatic for Magento.
