What you need to provide:

System requirements:

  • Returns Back-office access

  • E-commerce integration active (to fetch order data)

Integration dependencies:

  • Carrier integrations must be set up before adding carrier-based shipment options

  • Return addresses must be created before assigning them to shipment options

  • Product catalogue must be synced from e-commerce platform (for product category filtering)

Step-by-step setup guide

Creating your first Price Setup

Step 1: Access Price Setups

1. Log into Ingrid Returns Back-office

2. Navigate to Settings → Price Setups

3. Click “CREATE PRICE SETUP”

Step 2: Set preconditions

  1. Priority: Enter a number (1 for most specific, 99 for global default)

  2. Countries: Select target countries (leave empty for global default)

  3. (Optional) Add filters: Post codes, provinces, order tags, product categories

Tip: Start simple. For your first Price Setup, just set Priority and Countries.

Step 3: Configure general settings

1. Currency: Choose the currency for this market

2. Return time limit: Enter number of days (30 days is standard)

3. Refund policy: Choose when to process refunds (recommended: “Approved by warehouse”)

4. Shipping refund policy: Decide if/when to refund original shipping

5. Return handling cost: Enter base return fee (49 SEK or equivalent is common)

6. (Optional) Return handling free above amount: Order value threshold for free returns

Step 4: Configure exchange settings

1. Enable exchanges: Choose “Exchanges enabled”, “Enabled only for complaints”, or “Disabled”

2. If enabled, set:

  • Exchange policy: “Exchange on return” (recommended),

  • Exchange cost: 0 SEK (recommended to reduce refunds)

  • Free exchanges per order: 1 (recommended)

Step 5: Configure complaint settings

1. Complaints: Toggle on (recommended - lets customers report damaged/wrong items)

Step 6: Add shipment options

  1. Click “ADD SHIPMENT OPTION”

  2. Select shipment option type (e.g., “Print label - PostNord”)

  3. Set cost (0 SEK if included in return handling cost)

  4. Select return address

  5. (Optional) Add extra description for customers

  6. Repeat to add multiple return methods

Tip: Offer 2-3 shipment options to give customers choice.

Step 7: (Optional) Add conditional overrides

  1. Click “ADD CONDITION”

  2. Configure condition (e.g., “Order value >= 500”)

  3. Configure effect (e.g., “Return handling cost = 0”)

  4. Add multiple conditions if needed

Example: “If order value >= 500 → Return handling cost = 0” (free returns for high-value orders)

Step 8: Review and save

1. Review all sections in the Edit Price Setup form

2. Verify currency, return window, costs, and shipment options

3. Click “SAVE CHANGES”

Step 9: Test your configuration

Critical step:

  1. Create a test order that matches this Price Setup’s preconditions

  2. Initiate a return via your returns portal

  3. Verify: Correct currency, expected shipment options, correct costs, exchange/complaint availability

  4. Test carrier label generation (if using carrier integration)

  5. Check Back-office to confirm correct Price Setup was applied

Implementation Examples

Example 1: Basic single-market Price Setup

Scenario:

  • Swedish market with one carrier option.

Configuration:

Preconditions:

  • Priority: 1,

  • Countries: Sweden,

  • All other filters: Empty.

General settings:

  • Currency: SEK,

  • Return time limit: 30 days,

  • Refund policy: Approved by warehouse,

  • Shipping refund policy: Never refund,

  • Return handling cost: 49 SEK,

  • Failed delivery cost: 0,

  • Return handling free above amount: Not set.

Exchange settings:

  • Exchanges: Enabled,

  • Exchange policy: Exchange on return,

  • Exchange cost: 0 SEK,

  • Free exchanges per order: 1,

  • Max exchange per order: Unlimited,

  • Disable exchange on exchange: No.

Complaint settings:

  • Complaints: Enabled.

Shipment options:

  • Option 1:

    • Shipment option: Print label – PostNord,

    • Cost: 0 SEK (included in 49 SEK handling cost),

    • Return address: Warehouse Stockholm,

    • Complaint address: Same,

    • Extra description: “Drop off at any PostNord service point”.

Result:

  • Swedish customers can return items within 30 days, paying 49 SEK total return cost, with PostNord pickup. They get 1 free exchange per order. Refunds are processed after warehouse approval.

Example 2: Multi-market setup with priority

Scenario:

  • EU-wide returns with special handling for Sweden.

Price Setup 1 - Sweden Special:

  • Priority: 1 (higher priority),

  • Countries: Sweden,

  • Currency: SEK,

  • Return time limit: 40 days (extended),

  • Return handling cost: 0 SEK (free),

  • Shipment options: PostNord + Bring + In-store (Stockholm),

  • Exchanges: Enabled,

  • Complaints: Enabled.

Price Setup 2 - EU Default:

  • Priority: 2 (lower priority),

  • Countries: Denmark, Finland, Norway, Germany, Poland,

  • Currency: EUR,

  • Return time limit: 30 days,

  • Return handling cost: 5 EUR,

  • Shipment options: DHL only,

  • Exchanges: Enabled,

  • Complaints: Enabled.

Result:

  • Swedish customers get 40 days, free returns, and multiple options,

  • Other EU customers get 30 days, 5 EUR cost, and DHL only,

  • If a Swedish order somehow doesn’t match Setup 1, it falls back to Setup 2.

Example 3: Dynamic pricing with conditional overrides

Scenario:

  • Incentivise returning multiple items at once.

Base configuration:

  • Countries: Global,

  • Return handling cost: 49 SEK.

Conditional overrides:

  • Condition 1: Number of return items >= 2 → Return handling cost = 29 SEK,

  • Condition 2: Number of return items >= 4 → Return handling cost = 0 SEK.

Result:

  • Returning 1 item: 49 SEK,

  • Returning 2-3 items: 29 SEK,

  • Returning 4+ items: Free.

This encourages customers to return all unwanted items in one shipment, reducing multiple return shipments.

Example 4: Product-specific Price Setup

Scenario:

  • Swimwear has different return policy.

Price Setup 1 - Swimwear:

  • Priority: 1,

  • Product categories: Swimwear,

  • Return time limit: 14 days (shorter),

  • Exchanges: Enabled only for complaints (defective items only),

  • Complaints: Enabled,

  • Return handling cost: 0 (to encourage returns of unwanted items early).

Price Setup 2 - All Other Products:

  • Priority: 2,

  • Product categories: Empty (applies to all),

  • Return time limit: 30 days,

  • Exchanges: Enabled,

  • Complaints: Enabled,

  • Return handling cost: 49 SEK.

Result:

  • Swimwear can only be returned in 14 days and can’t be exchanged (unless complaint),

  • All other products get standard 30-day return with exchanges.

Example 5: B2B vs B2C pricing

Scenario:

  • Different policies for business vs consumer customers.

Price Setup 1 - B2B Customers:

  • Priority: 1,

  • Order tags: “B2B”, “Wholesale”,

  • Return time limit: 60 days,

  • Return handling cost: 0 SEK,

  • Exchanges: Disabled (B2B customers just order separately),

  • Complaints: Enabled.

Price Setup 2 - Consumer Customers:

  • Priority: 2,

  • Countries: Global (no filters, catches everyone else),

  • Return time limit: 30 days,

  • Return handling cost: 49 SEK,

  • Exchanges: Enabled,

  • Complaints: Enabled.

Result:

  • B2B orders (tagged as such) get 60 days and free returns,

  • All other orders get standard consumer policy.
